Executive Assistant / Compliance Support-MEA
The Executive Assistant / compliance support MEA provides administrative and project assistance to the General Manager. Other duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, policies and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner and according to Company Policies. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
What You’ll Do
- Responsibilities include all administrative functions : Calendar / Outlook management, Organizing meetings / follow-ups, preparing Minutes of meetings, meeting / event planning, Scheduling travels (hotel booking / dinners / transfers etc), managing correspondence and scheduling couriers, processing expense reports, , creating or modifying business documents, preparing presentations from source materials, handling teleconference setups, acting as a liaison for remote access issues.
- Preparing and following up compliance paperwork.
- Preparing and / or editing documents : Tender,contract.
- Follow up on progress of marketing activities.
- Include support for preparing business activities OPEX and obtaining necessary approvals as well as tracking budget expenditures.
- Supports the team to plan, document and conduct business and marketing events according to Compliance policy.
- Processes incoming invoices, file and keep records.
- Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
- Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).
- Arranges and prepares necessary documents for office and building access for internal staff and visitors.
- Orders business cards and stationery.
- Uses basic to intermediate software skills to perform work assigned.
- Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel website, and employee performance management systems (as applicable). Coordinates new employee office set-ups and on-boarding.
- May train / coordinate work with other administrative assistants.
Accountability / Scope / Budget :
Frequently interacts with high-level executives.Basic to intermediate knowledge and understanding of business processes and requirements.Frequently handles confidential or business-sensitive information. Data is typically employee-level or one-dimensional.Maintains and manages calendars, including meeting and travel scheduling and domestic and international travel arrangements.Proactively identifies and resolves scheduling conflicts.May be the primary point of contact for Regional Director’s schedule.Participate in multi-divisional project teams (when appropriate to experience and knowledge base, e.g. internet knowledge), with Regional Director, in order to follow-up with team members on action items when required.Requirements :
Any Graduate (Office Administration, or related field)3-5 years of experience as an Executive Assistant to VP or DirectorFluent in English, Arabic and FrenchStrong computer skills : MS Office, Webex, TeamsAbility to work under pressureExcellent interpersonal skillsExcellent time management skills, self-discipline and focusExcellent accuracy and follow-up skillsReliable / Dependable / PunctualAbility to handle confidential information
