About this opportunity

The Office Assistant takes care of the day to day running of the office (facilities), travel arrangements, the emergency response team and general support. Additionally, the Office Assistant will support the HR Business Partner with local HR administration duties as requested.

In this role, you will take ownership of...

Facilities :

Maintain and upkeep office equipment and furniture

Maintain a safe and secure working environment

Organize repairs and upgrades

Follow through on maintenance agreements and contracts

Having regular meetings with the landlord regarding the office building and outstanding issues

Ensure payment of utility bills

Research vendors for pricing and delivery options

Review and approve office supply acquisitions

Organize meeting rooms and equipment

Organize dinners or any other events required

Organize appointments and meetings

Travel :

Support management with their travel requirements

Coordinate with the Global travel manager and European offices

Coordinate with finance regarding travel expenses and approvals

Emergency response team :

Coordinate the emergency response team

Organize and set up safety procedures (emergency plan)

Organize evacuation exercises

Organize Refresher courses

Human Resources (dotted line reporting to the HRBP)

Act as coordinator of HR related matters

Handle HR and payroll related administration tasks

Manage administration of company benefits

Leave management (sick leave, holidays and other statutory leaves)

Coordinate candidate interview in collaboration with Talent Acquisition when applicable

Coordination and support of new hire onboarding plans and activities

Point of contact for ER matters in support to the HRBP

In this role, you’ll need…

High school diploma with a number of years administrative and supervisory experience proven by 3+ years of relevant work experience Knowledge of accounting, data and administrative management practices and procedures Knowledge of clerical practices and procedures Knowledge of human resources management practices and procedures Knowledge of business and management principles Computer skills and knowledge of office software packages Communication skills Problem analysis and assessment Judgment and problem solving Decision-making Planning and organizing Work and time management, teamwork and collaboration Attention to detail and high level of accuracy Information gathering and monitoring Initiative, adaptability Integrity Adaptability Fluent English required
