Summary of the Role

The Administrative Assistant is a critical new role at 1 Clean Air, which is essential to the company's growth. The A.A collaborates with the company's executive, providing support for their work, ensuring good standards of internal and external communication, and taking initiatives to make work faster and efficient.

The idea candidate understands needs, juggles between multiple responsibilities, and navigates through professional and personal environments with ease. This position requires a proactive, positive, and dynamic attitude, with a particular emphasis on discretion and confidentiality.

This position is responsible for managing day-to-day office operations, administrative staff, supplies, as well as handling vendor and client management.

Responsibilities :

  • Schedule appointments, and meetings internally and externally
  • Prioritize action items, review regularly with executives and adjust meetings to address high-priority items
  • Ensure accuracy and completeness of the executives' work-related information.
  • Assist the executives with client calls, estimates and appointments.
  • Act as a facilitator for internal and external communication
  • Support ongoing projects and initiatives, such as database management, project management, and administrative tasks.
  • Manage office operations, including supply ordering, purchase and contacting service providers for repairs and maintenance.
  • Prepare and edit various documents, such as correspondence and reports, as well as conduct research and data analysis.
  • Ensure confidentiality and professionalism when dealing with sensitive information and issues.
  • Fulfill any additional duties or tasks as required.

Qualifications :

  • Previous experience in Administrative Assistance
  • Strong communication skills in French and English (verbal and written)
  • Strong mastery in Outlook and Microsoft Office (Excel, Word, PowerPoint)
  • Excellent time management skills
  • Excellent organization skills
  • Motivated team player who takes initiative
  • Schedule :

  • 9-5 Monday to Friday, EST Time
